Senior Living Appointment Pickup-Time Calculator
A 2:00 appointment is not a 2:00 problem. Work backwards from the appointment to the time the van leaves — and the earlier time the resident actually needs to be ready.
How it works out
Two subtractions, in this order:
- Leave the facility = appointment time − drive time − early-arrival buffer
- Resident ready by = departure time − loading/boarding buffer
The loading buffer is the one people leave out, and it's the one that makes residents late. Getting someone from their apartment to a seat — a walker stowed, a wheelchair secured, a coat found — is not instant, and it doesn't happen while the van is moving. The defaults here are 20 minutes to board and 15 minutes of cushion at the destination; change both to whatever your building actually runs.
These are planning numbers, not promises. Real timing depends on traffic, the resident's mobility that morning, your facility's own policies, and how far the door is from the exam room at the other end. Treat the result as the time to start from, and adjust it for what you know about the resident and the destination.
